Provide an update on an agreement with Samsara for the asset tracking and maintenance of City assets after the first year of the five-year contract.

BACKGROUND:
On October 22, 2024, the City Council approved a five-year contract with Samsara through Resolution No. 2024-180. At the time of approval, the City Council requested that staff conduct a 12-month performance review to assess the system's value and justify proceeding with the increased costs for years two through five of the contracts.
During the first year of implementation, 330 City assets have been onboarded and actively tracked through the Samsara platform, including 220 vehicles and 50 trailers. The system is currently used by multiple departments, including Police, Fire, Public Works, Community Services, and Parks, to support Fleet oversight and operational efficiency. Key accomplishments from the first year of implementation include:
• Proactive Maintenance: Integration of vehicle mileage, engine hours, and sensor data into the City’s Fleet Information System has enabled earlier identification of maintenance needs and more proactive repairs.
• Critical Alerts: Real-time monitoring of fault codes, medic temperatures, and generator status provides advanced notice of potential equipment issues, helping to reduce unplanned downtime.
• Operational Progress: The first year of data collection has established a baseline to support future efforts to reduce fuel consumption, manage fleet costs, and evaluate vehicle utilization.
• Enhanced Safety: Implementation of the platform positions the City to further develop and implement a formal driver safety program using available telematics data. Overall, the first-year results demonstrate that the Samsara platform is functioning as intended and delivering operational value consistent with the objectives identified at contract approval.
DISCUSSION:
The City Council will have the opportunity to discuss the Samsara system's first-year performance. Staff will be available to answer questions that the Council may have and provide additional information as needed.
FISCAL IMPACT:
Fiscal impacts in the amount of $64,786 were approved as part of the FY 2025-26 Budget.
