BACKGROUND:
The City of Farmers Branch uses a cloud-based budgeting and financial transparency system to support its annual budgeting process, long-term financial planning, performance management, and public reporting. This system plays a key role in enhancing internal efficiency, promoting transparency, and improving data accessibility for staff and the public.
Licensing, annual maintenance, and support services are required to ensure the platform continues to function reliably, receives timely updates, and remains aligned with evolving financial practices and regulatory standards.
DISCUSSION:
Staff recommends renewing the City’s annual maintenance and support agreement for its budgeting and financial transparency system. This renewal provides continued access to system enhancements, software updates, technical support, and cloud hosting services that support critical budgeting and public engagement functions.
Finance and City leadership actively use the platform to prepare and manage the annual budget, monitor departmental performance, and publish user-friendly dashboards and reports for the community. These features enable the City to maintain fiscal accountability and enhance communication with residents.
The renewal ensures uninterrupted access to these services and tools while maintaining the system’s security, functionality, and compliance with industry standards.
The total cost for this renewal will not exceed $77,900 for the upcoming year. The agreement will be procured using an approved cooperative purchasing contract to ensure competitive pricing and compliance with state purchasing regulations.
FISCAL IMPACT:
Budgeted fiscal impact not to exceed $77,000 funded through the City’s Innovation Technology operating budget.
