Title

Consider approving Resolution No. 2026-125 reaffirming the annual renewal for municipal court software maintenance and support services in an amount not to exceed $61,000, authorizing the City Manager to negotiate, execute, and amend the agreement; and take appropriate action.

Body

REQUESTOR:

Innovation and Technology Department

BACKGROUND:

The City uses municipal court software and related services to support daily court operations, including case management, citation processing, payment collection, document management, reporting, and connections to other systems.

Annual maintenance and support are needed to keep these services available and up to date, ensuring continued access to case records, citation processing, payment collection, reporting, and connected systems, and to provide necessary software updates and technical assistance.

DISCUSSION:

Approval of Resolution No. 2026-125 will reaffirm the City’s authorization of the annual renewal to provide maintenance and support for the Municipal Court’s core software and related services. These systems help staff process cases, manage payments and records, exchange information with related services, and maintain day-to-day court operations. Renewing these services will allow the Municipal Court to continue using its established processes without interruption. Although the renewal amount falls within the authority of the City Manager’s approval, reaffirmation from the City Council is required.

This purchase supports the Council’s ongoing technology replacement strategy by providing reliable, supported equipment while reducing maintenance costs and minimizing the risk of service interruptions caused by aging software and hardware

FISCAL IMPACT:

Budgeted financial impact not to exceed $61,000.

DISTRICT:

Citywide
