BACKGROUND:
The City of Farmers Branch relies on a data backup and IT disaster recovery system to protect critical data and ensure continuity of operations in the event of a system failure, cyberattack, or natural disaster. This system allows the City’s IT Department to quickly restore lost or corrupt data and maintain access to essential services.
Ongoing maintenance and support are crucial to ensuring the system operates as intended, receives regular software updates, and is supported by technical assistance when issues arise.
DISCUSSION:
The Council will consider renewing the City’s annual maintenance and support agreement for the backup and disaster recovery system. This renewal provides continued access to software updates, security patches, technical support, and hardware coverage.
The backup system is a vital part of the City’s overall IT infrastructure. It safeguards data for all major departments, including Police, Fire, Finance, and Public Works. Without ongoing support, the City risks extended downtime and potential data loss in the event of an unexpected failure or cybersecurity incident.
Annual payments will be made in the amount of $102,000, and the total three-year agreement will not exceed $306,000. This agreement ensures 24/7 support and maintenance coverage, as well as guaranteed access to future updates and product improvements.
The City will use an approved cooperative purchasing contract to renew this service. This program allows Texas government entities to procure IT services and products through pre-negotiated, competitively awarded contracts, ensuring efficiency and compliance with state procurement requirements.
FISCAL IMPACT:
This expenditure has been included in the FY25-26 operating budget.
