BACKGROUND:
The City replaces computers on a four year average cycle (subject to funding availability), which is a benchmark that generally corresponds to the useful life and supportability of these devices. The FY 2022-2023 budget includes funding for the routine replacement of a proportion of the City’s desktop and laptop computer systems.
DISCUSSION:
The City of Farmers Branch requested vendor quotations utilizing the State of Texas Department of Information Resources contract pricing for automated information systems. The Innovation & Technology Department evaluated the quotations as to meeting specifications and desires to award the purchase of the computer hardware to Dell Marketing, L.P.
The Innovation & Technology budget for FY 2022-2023 provides funding for the purchase of desktop computers, laptop computers and associated accessories, such as monitors, docking stations, laptop bags, and sounds bars. The hardware will be procured under a cooperative purchasing contract through the Texas Department of Information Resources (DIR), contract number DIR-TSO-3763. It is anticipated that the proposed procurement from Dell Marketing, L.P. would include the following items, but quantities and configurations may change slightly, dependent upon final analysis:

FISCAL IMPACT:
Budgeted financial impact is $238,854. $239,000 from the Innovation & Technology FY 2022-2023 budget has been allocated for this project.
RECOMMENDATION:
City Administration recommends approving the purchase of replacement desktop and laptop computer systems and associated accessories from Dell Marketing, L.P. utilizing the State of Texas catalog purchasing procedures, in an amount not to exceed $239,000.
POSSIBLE COUNCIL ACTION:
1. I move to approve Resolution No. 2023-075 as presented.
