Title

Consider approving Resolution No. 2026-124 reaffirming the annual renewal for an enterprise work management and collaboration platform in an amount not to exceed $50,000; authorizing the City Manager to negotiate, execute, and amend the agreement; and take appropriate action.

Body

REQUESTOR:

Innovation and Technology Department

BACKGROUND:

The City uses a cloud-based work management platform to help departments organize projects, assign responsibilities, track progress, and coordinate work across teams. The platform provides a centralized location for staff to manage projects and ongoing activities rather than relying on separate spreadsheets, emails, and other disconnected methods. The current subscription must be renewed to maintain access to the software.

Use of this platform provides a consistent and transparent way to manage projects, responsibilities, deadlines, and cross-departmental coordination. Renewing the subscription will preserve centralized access to project information, improve accountability, reduce reliance on disconnected tracking methods, and complete initiatives efficiently and on schedule.

DISCUSSION:

Approval of Resolution No. 2026-124 will reaffirm the City’s authorization of an annual renewal of an enterprise work management and collaboration platform in an amount not to exceed $50,000. The platform is used to manage projects, track assignments and deadlines, improve collaboration between staff, and provide visibility into the status of ongoing work. Renewing the subscription will allow departments to continue using established workflows without interruption.

This purchase supports the Council’s ongoing technology replacement strategy by providing reliable, supported equipment while reducing maintenance costs and minimizing the risk of service interruptions caused by aging hardware and software. Although the amount of the renewal falls within the authority of the City Manager’s approval, reaffirmation from the City Council is required.

FISCAL IMPACT:

Budgeted financial impact not to exceed $50,000.

DISTRICT:

Citywide

POSSIBLE COUNCIL ACTION:

2. I move to approve Resolution No. 2026-124, with modifications.

3. I move to table the issue for further study or take no action.
