Title

Consider approving Resolution No. 2026-014 authorizing the purchase of ten vehicles for the Police Department from Caldwell Country Ford through the BuyBoard Cooperative Purchasing Program in the amount of $892,814; and take appropriate action.

Body

REQUESTOR:

Finance and Fleet Department

BACKGROUND:

The Police Department is requesting the purchase of eight 2026 Ford Police Interceptor Utility (PIU) vehicles at a cost of $88,322 each for Patrol use, plus a $400 Cooperative fee. The department is also requesting the purchase of a 2026 Ford T350 Transit Van for $97,362 to be used as a Special Weapons and Tactics (S.W.A.T.) Officer Transport Vehicle, and an addition to the fleet of a 2026 Ford F350 Pickup for $88,476 to be used for Commercial Vehicle Enforcement. The vehicles will be fully upfitted when delivered, requiring minimal work by Fleet Services. This will eliminate the time it takes to put the vehicles in service from the time of delivery.

The purchase of the new vehicles is intended to replace nine vehicles that are cycling out due to age, miles, service hours, overall condition, or a combination of these factors, or will reach that threshold by the time the replacement is in service, with the exception of the requested addition to the fleet to be used for Commercial Vehicle Enforcement. The replacement schedule for police patrol units is three years, 100,000 miles, or 10,000 hours.

DISCUSSION:

The Council will discuss approving Resolution No. 2026-014, approving the purchase of 10 vehicles for the Police Department through the BuyBoard Purchasing Cooperative.

Two vendors provided vehicle quotes, with Caldwell Country Ford offering the best value.

FISCAL IMPACT:

Budgeted financial impact approved as part of the FY 2025-26 budget in the amount of $892,814 from Fleet Services.
