BACKGROUND:

At the October 21, 2025, City Council meeting, Mayor Pro Tem Tina Bennett-Burton requested that staff explore the feasibility of a Community Run Event to be held in October 2026 and return with information for future Council consideration.

 

The direction provided to staff included the following parameters:

                     A community-focused run and walk that is inclusive of families

                     An October timeframe

                     A Halloween- or costume-themed concept

                     A festival-style atmosphere

 

In response, staff will present preliminary findings for City Council review and discussion. As part of this item, staff will also provide an overview of the proposed 2026 special events calendar to place the Community Run Event within the broader context of City-sponsored programming.

 

DISCUSSION:

Staff contacted AMPT, the City’s race coordination vendor, to obtain preliminary information on logistics, availability, and potential costs for hosting a 5K race in Farmers Branch. AMPT has indicated availability to coordinate an event on Saturday, October 10, 2026.

 

Staff will evaluate projected race-related expenses and associated City costs required to support the event, including staffing, public safety, operations, and infrastructure needs. In addition, staff will assess the operational and scheduling impacts of the proposed Community Run Event on other special events currently planned for October 2026.

 

As part of this evaluation, staff are also exploring opportunities to combine or strategically align select October events to maximize community participation, improve operational efficiency, and ensure responsible allocation of City resources.

 

FISCAL IMPACT:

Approximately $67,000 in expenses for race coordination and staffing, and revenues of $22,500.
