BACKGROUND:
The City of Farmers Branch uses an integrated suite of software systems to manage essential operations across multiple departments. These include systems for Enterprise Resource Planning (ERP), Human Resources (HR), and Development Services systems, which support functions such as budgeting, payroll, procurement, permitting, inspections, licensing, and code enforcement.

These systems are critical to daily operations, compliance with regulatory requirements, and efficient service delivery to the community. Ongoing maintenance and vendor support are essential to ensure the software remains secure, functional, and up-to-date.

DISCUSSION:
The City needs an active annual maintenance and support agreement for its ERP, HR, and Development Services platforms. This renewal provides the City with continuous access to software updates, security patches, compliance-related enhancements, bug fixes, and technical support services.

Maintaining this support agreement helps ensure system reliability and protects the City from operational risks, data loss, and software obsolescence. It also enables the City to take advantage of new features and improvements that support long-term efficiency.

The total cost for the renewal will not exceed $187,000 for the upcoming year. The City will utilize an approved cooperative purchasing contract to procure the renewal, which ensures compliance with state procurement requirements and provides access to competitively bid pricing.
