REQUESTER:
Facilities
BACKGROUND:
The Facilities Division is requesting the purchase of a Trane HVAC unit to replace the existing unit at the Margaret Young Aquatics Center. The unit is at the end of its useful life and was set to be replaced in the next Fiscal Year.
DISCUSSION:
The current HVAC unit, which provides cooling for a significant portion of the interior spaces of the Margaret Young Aquatic Center, is inoperable and requires replacement. Facilities staff are utilizing portable air conditioning units throughout the building to provide cooling. Staff worked with the vendor on possible repair options, but they could not guarantee that the unit would not fail again. Since this unit is scheduled to be replaced in the next fiscal year, it is most fiscally prudent to have it replaced now.
Two quotes for the unit are provided for City Council review, both of which use the Buy Board and TIPS Cooperative contracts. The chosen vendor is reliable that the City has utilized for many years for similar projects. The City Manager authorized the work as an emergency repair, and staff are proceeding with the necessary replacement of the unit.
Due to one of the quotes provided exceeding the City Manager's purchasing threshold of $50,000, for transparency purposes, both quotes are presented with this agenda item to the City Council.
FISCAL IMPACT:
The replacement unit will utilize $49,197 from a FY 24-25 budgeted account.
