BACKGROUND:
The City operates data centers that support important technology systems used by staff, public safety personnel, and residents. These systems rely on specialized air conditioning units to keep equipment at safe temperatures and battery backup systems to provide power during electrical interruptions.
To reduce the risk of downtime, the City has built these systems with redundancy, meaning multiple units are in place so that if one fails, another can take over. This design helps ensure that services remain available even when an issue occurs.
The City maintains annual service agreements for these systems to ensure they continue to operate reliably and to address any issues before they become serious problems.
DISCUSSION:
Resolution No. 2026-060 will reaffirm the City Manager's authorization to negotiate, execute, and amend an agreement for the annual renewal of maintenance and support services for the City's air conditioning and battery backup systems. Renewing these maintenance and support services is necessary to keep the City's technology systems stable and available.
Even though these systems are built with redundancy for failover, they still require regular maintenance to function as intended. Routine service helps identify worn or failing parts early and ensures that backup systems are ready to operate when needed.
Without this maintenance, the likelihood of unexpected failures increases. If the cooling systems fail, equipment can overheat, shut down, or be damaged. If the battery backup systems fail, the City could experience sudden power loss, which ...
