Consider approving Resolution No. 2021-079 awarding unit price bids for the annual purchase of chemicals to numerous vendors for the Parks and Recreation Department; and take appropriate action

BACKGROUND:
Each year the Parks and Recreation Department requests bids for an annual supply of chemicals. Bidding an annual supply increases staff efficiency and is more cost-effective than buying individual items numerous times throughout the year.
DISCUSSION:
Bid requests were advertised and sent to seven vendors. Three bids were received and opened on March 30, 2021. Vendors were notified in the specifications that the quantities were estimates and that the City may purchase adjusted quantities of each product. The lowest bids received met specifications on all items.
$110,500 is currently budgeted for the annual supply of chemicals. The total cost of the low bid items meeting specifications is $103.155.35.
RECOMMENDATION:
City Administration recommends approving Resolution No. 2021-079 awarding bids for chemicals for the Parks and Recreation Department, to the following vendors:
BWI Companies, Inc.: Items 4, 9, 10, 13, 18, and 20 in the amount of $16,834.48.
Harrell's, LLC: Items 8, 16, and 19 in the amount of $7,152.96.
Helena AGRI-Enterprises, LLC: Item 7 in the amount of $1,077.50.
SiteOne Landscape Supply: Items 1, 6, 11, and 15 in the amount of $53,272.03.
WinField United: Items 2, 3, 5, 12, 14, and 17 in the amount of $24,818.38
POSSIBLE COUNCIL ACTION:
1. I move to approve Resolution No. 2021-079 awarding the bid for chemicals to BWI Companies, Inc., Harrell's, LLC, Helena AGRI-Enterprises, LLC, SiteOne Landscape Supply, and WinField United.
2. I move to approve Resolution No. 2021-079 awarding the bid for chemicals to BWI Companies, Inc., Harrell's, LLC, Helena AGRI-Enterprises, LLC, SiteOne Landscape Supply, and WinField United with modifications.
3. I move to table the issue for further study or take no action.
